Job Summary:

BoozDNA, LLC is seeking a highly organized and dynamic Office Manager to join their team in Irvine. The Office Manager will be responsible for managing the day-to-day administrative operations of the office, ensuring smooth workflow, and contributing to the overall efficiency of the business. This role is ideal for a self-motivated individual with exceptional communication skills and a knack for problem-solving.


Essential Job Duties:

  • Oversee daily operations, including scheduling, mail distribution, and maintenance of office supplies and equipment. Ensure all office facilities are maintained and operational, coordinating repairs and upgrades as necessary.

  • Provide administrative support to senior management, including scheduling meetings, coordinating travel arrangements, and preparing reports and presentations.

  • Assist with basic financial management tasks, including budgeting, expense tracking, and invoicing. Liaise with the accounting department to ensure timely financial reporting and compliance. Experience with QuickBooks is preferred.

  • Assist in the onboarding process for new hires, including setup of workstations and orientation. Manage employee records and assist with payroll processing.

  • Negotiate with office vendors and service providers, ensuring quality service and cost-effectiveness. Attend vendor meetings as needed.

  • Coordinate internal and external events, including meetings, conferences, and celebrations.

  • Ensure all office practices comply with legal and company standards. Maintain a safe and secure working environment by adhering to health and safety guidelines.


Requirements/Qualifications:

  • Associate degree in business administration, management, or a related field.

  • QuickBooks experience preferred.

  • Strong organizational and planning skills in a fast-paced environment.

  • Excellent communication and interpersonal skills.

  • Proficiency in Microsoft Office Suite and office management software.

  • A proactive approach to problem-solving with strong decision-making skills.

 

Work Experience Skills Developed:

  • Develop skills in managing office operations, leading administrative tasks, and supervising support staff.

  • Gain experience in managing budgets, tracking expenses, and working with financial software like QuickBooks.

  • Manage onboarding, employee records, and payroll, as well as liaising with HR to support employee needs.

  • Enhance skills in communicating effectively with vendors, coordinating travel, and event planning.

  • Build a proactive approach to resolving administrative challenges and ensuring office efficiency. 


Hours of Operation:

Monday- Friday: 10 AM - 3 PM
