Job Overview:
The Facilities Coordinator manages Maintenance and Janitorial Services and supports the Operations Manager (OM) and Facilities & Project Manager (F&PM) with all operational services for LARMAC.
The master planned community of Ladera Ranch is located in South Orange County. The community is managed by Ladera Ranch Maintenance Corporation (LARMAC) which consists of over 8,000 homes. The community is spread out across 4,000 acres of landscape, parks, trails, pools, clubhouses, reservable indoor and outdoor spaces, water park, skate park, sports fields, tennis/pickleball courts and more.
Compensation: $20-23/hr
FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.
Job Responsibilities:

Communicate with team members, residents, Board members, committee members, and vendors as needed.
Manage tasks and deadlines using Trello and Outlook in collaboration with F&PM and OM.
Respond to emails and voicemails professionally and promptly.
Dispatch and monitor work orders and projects for Maintenance and Janitorial Techs.
Conduct quality checks and inspections of tasks performed by techs.
Organize and track work orders from various sources, ensuring efficient completion.
Develop and implement processes to streamline work order handling.
Ensure compliance with LARMAC policies and safety standards.
Occasionally attend evening LARMAC Board meetings and all mandatory company functions. Assist OM and F&PM with administrative tasks and report updates on job responsibilities.
Collaborate with co-workers and community partners to adapt support services and facilities as needed.
Coordinate inspections for maintenance and repairs, working with maintenance associates and service providers.
Enforce protocols for team operations and manage the ordering and storage of supplies and equipment.
Other duties may be assigned by management
Skills & Qualifications:
Proven customer service and dispatching experience.
Strong written and oral communication skills.
Detail-oriented with the ability to manage multiple tasks and meet deadlines.
Ability to work independently, demonstrating good judgment and critical thinking.
Proficient in Microsoft Office and effective in communicating with vendors and residents.
Bilingual in English and Spanish (written and verbal) is preferred
Experience in the janitorial or maintenance industry, with knowledge of cleaning techniques and maintenance procedures.
Strong leadership, organizational, and problem-solving skills.
Familiarity with safety regulations and compliance.
Experience in various trades, such as painting, plumbing, woodworking, concrete repair, or electrical work.
Physical stamina and manual labor capabilities, with a willingness to learn and adapt.
Education & Experience:
Bachelor’s degree or equivalent experience preferred.
Experience in property management or a related field is desirable.
Experience dispatching multiple skills/trades preferred.
