Position Requirement: Experience in construction, preferably public works with emphasis on support to project management team. Seeking a detailed and organized professional with previous office administration experience. Will report directly to Project Manager with secondary reporting requirement to the Business Manager.
This is a temporary position for 6 months within office reporting to Irvine, CA.

Position Outline:
Manage project office facilities.
Cost Analysis, ensure low-cost purchase and budget review.
Processing, coordination and management of Accounts Payable for project.
Processing, coordination and management of Payroll for project.
Responsible for and provide support for Document Control for the project.
Participate in all faucets of accounting and project management systems through
Viewpoint Software.
Participate in all faucets of paperless environment.
Prepare, analyze, and transmit certified payroll and any “additional” reporting requirements per project and contract specifications.
Monthly processing of project rental roll.
Responsible for management of project insurance requirements with subcontractors and vendors.
Coordination and processing of subcontractor application for progress payment.
Co-ordinate and manage month end close with corporate office in order to provide timely and accurate reporting for project.
Manage, maintain telephone systems and video conferencing, update telephone lists for project office. Provide reception when necessary.
Coordinate Verizon, Sprint cell/radio use for project.
Coordinate Wright Express Fuel and Maintenance cards for project.
Reconcile vendor accounts as needed.
Manage maintenance contracts for equipment, services and provide support as needed.
Monitor, deal and negotiate for best rates with any suppliers for office equipment, supplies, items or services
Stock and inventory control for office related equipment and products.
Coordinate, manage and plan meetings when necessary for project.
Participate in project’s efforts in mobilization and demobilization of project site as
directed.
Coordinate Weekly Staff Meeting.
Applicable miscellaneous duties as required.
Hours: Determined by Project Manager / Project Engineer as project requirements can vary. Salary: Commensurate with background and experience.

Manage a portfolio of project and program management services (project analysis, project execution, project delivery, project governance and processes)
Assisting with project/program budget tracking

Build the program/project management office (PMO)
Lead enterprise project prioritization and governance processes
Provide status reporting to project stakeholders
Managing project timelines, project resources and project budgets
Drive consistency across the project portfolio
Create project plans and project schedules
Facilitate effective project management governance and oversight
Publish project status reports including financial status and performance of the overall project portfolio and maintain project portfolio performance dashboards and executive reporting
Facilitating project status meetings - and communicating project status to key project stakeholders
Implement a standard project management methodology
Implementing program and project management delivery methods
Ensuring the overall project delivery
Build project management frameworks for all projects within program
Direct project/program managers with business case development
Provide governance around project portfolio data including initial data entry, project promotion, project status updates, and project closure
