Job description

Payne’s is a family-owned company that has been providing Janitorial Services

successfully in

Southern California for over 45 years. We provide services to private churches, school facilities, and commercial buildings.


Administrative Assistant Job Responsibilities:

The Administrative Assistant role will be responsible for supporting the office manager in several duties but will prioritize answering phone calls,

taking down in accurate detail the hours and duties that our janitors call to report and answering emails in a timely manner.


• Ability to perform all tasks with great attention to detail.

• Maintain accurate reporting when the information is first given and while it is being

transferred onto an excel sheet or written on a document.

• Match the hours and janitorial duties reported to you with the correct accounts to support billing.

• Identify and overcome issues that our clients or janitors might bring up via phone or email, professionally diffuse the situation for the moment, and involve the correct manager for immediate support.

• Monitor janitors so that they are reporting hours weekly and signing timecards.

• Build and maintain a professional but compassionate relationship with all our janitors and clients to make our billing process smoother.

• Self-motivated to complete tasks independently and correctly.

• Proven ability to fluently speak, read, and write in Spanish (required)


Qualifications:

• Previous administrative or office work experience is preferred.

• High School Diploma or GED required.

• Able to effectively and accurately note take in a fast-paced environment and relay the

message clearly to all corresponding parties.

• Strong oral, written, and communication skills.

• Proficient with Excel, Word, Emailing etc.…

• Excellent organizational and interpersonal skills.

• Demonstrated ability to prioritize time sensitive tasks while having ongoing projects on the side.

• Proven ability to fluently speak, read, and write in Spanish (required)
